We recognize the importance of personal information in the advanced information- communication society and strongly believe that it is our social responsibility to manage such information appropriately.
In order to protect personal information*¹ as appropriately with regards to the characteristics of our business as an international transportation company and the characteristics of personal information handled, we shall comply with laws, regulations, and other rules concerning the protection of personal information, establish a personal information protection system, and establish the following Privacy Policy. All of our executives and employees shall comply with this policy when handling and managing personal information.

  • We shall appoint a personal information protection manager and manage personal information to the best of our ability.

  • When acquiring personal information, we shall comply with the Act on the Protection of Personal Information (Hereinafter referred to as Personal Information Protection Law) and other related laws (Hereinafter referred to as “legislation”) and shall obtain information by legal and fair means as required by legislation, such as notifying or publicly announcing the items or obtaining consent. The usage of the personal information obtained shall be clearly indicated in advance, and shall be within the scope of the Purposes of Use of Personal Information described below.

  • We will not use personal information in a manner that may encourage or induce illegal or unjust acts.

  • We will keep personal data*² accurate and up-to-date to the extent necessary to achieve the purpose of use. When there is no longer a need to use such personal data, we shall delete such personal data without delay.

  • We will appropriately and carefully manage the personal data we have obtained. We will also take security control measures to prevent theft or other data breach, loss, destruction or other loss, and alteration or other damage (hereinafter collectively referred to as "Data breach, etc.") to personal data due to unauthorized access.

  • We will provide necessary and appropriate training and supervision of employees who handle personal data.

  • We will establish a reporting and response system to minimize damage in the event of an accident related to the handling of personal data. In an event of data breach, etc., we will investigate the facts, determine the cause, and take steps to prevent recurrence.

  • We will comply with the "Policy on Sharing Personal Data" described below when we are to share personal data with a Group Company.

  • When outsourcing the handling of personal data, we will ensure that the outsourced company appropriately manages and supervises personal data to prevent data breach, etc.

  • We will not provide or disclose personal data to third parties unless we have obtained the prior consent, or unless otherwise permitted by legislation.

  • We will not provide or disclose personal data to third parties located outside of Japan, except when we have received prior consent, or when otherwise permitted by legislation. We will provide the person in question with the information required by legislation in advance to obtain consent.

  • When we receive personal data from a third party, we will perform the necessary verification in accordance with the provisions of the legislation, except when permitted by legislation.

  • When we anticipate that a third party will acquire personally identifiable information (limited to that which constitutes a database of personally identifiable information, etc.) as personal data, we will perform the necessary process in accordance with the provisions of legislations and regulations, unless otherwise permitted by legislation.

  • We respect the data holder’s rights. If the data holder requests us to notify of the purpose of use, disclosure, correction, addition, deletion, halt of use, erasure, or halt of provision to a third party of retained personal data*³, or disclosure of the record of provision to a third party of your personal data, we will promptly respond to the request in accordance with the legislation. If we are unable to respond to your request, we will explain the reason when notifying you that we will not take such measures or why we will take different measures.

  • We will make every effort to appropriately and promptly handle any complaints received from you regarding our handling of your personal information.

  • We will inform you of the necessary matters concerning "retained personal data" as defined in the Personal Information Protection Law, in accordance with the provisions of the law (Including cases where we respond without delay to a request by the individual.). We will continuously review and improve our internal management system for the protection of personal information to maintain appropriate management.

Purpose of Use of Personal Information

Unless otherwise notified, we will handle acquired personal information to the extent necessary to achieve the following purposes of use in connection with our businesses.

2. Items of personal information to be collected
We will collect the categories of personal information below in connection to the following objective of use. (These categories refer to personal information that can identify individuals. For specifics, see ”*¹”.)

  • Occupational and employment information: position, department, job responsibilities, place of work, dates of hire/retirement, location, evaluations, etc.

  • Official identification information: passport number, identification number, driver's license number, employee ID, etc.

  • Information collected through the use of the website: cookies, IP address, browser type, device used to access the site, etc.

3. Purposes of Collection and Use of Personal Information
 (1) Contract processing and other transactions between us and the personal data holder.
 (2) Correspondence, exchange of information, notices, and other communication based on social customs.
 (3) Notification of information regarding products and services of us and our group companies.
 (4) To confirm your eligibility to use the products and services of us and our group companies and for identity verification.
 (5) Investigation, analysis, research, and auditing related to our and our group companies.

Disclosure, Correction, Deletion, Suspension of Use, etc. of Retained Personal Data

In accordance with the Personal Information Protection Law, the data holder will have the following rights with respect to your retained personal data.

  • The right to request for notification or disclosure of the purpose of use of retained personal data by providing digital records or by other methods prescribed by the Rules of the Personal Information Protection Commission.(Including requests for disclosure of records provided to third parties.

  • The right to request for correction, addition, deletion etc. of retained personal data.

  • The right to request for suspension of use, deletion, suspension of provision to Third Parties etc. of retained personal data.

The data holder has the right to exercise their rights following the writing below under "Contact for Personal Information"
After confirming that the request is made by the data holder, we will respond to the request without delay in accordance with legislation. However, we may not be able to respond to the request if it does not meet the requirements of the Personal Information Protection Law, or if it falls under any of the exemptions provided by legislation.
